PRG Assistant Project Managers lead and manage the elements of the projects as assigned by the Project Manager. The Assistant PM assists the Project Manager in providing leadership to the subcontractors, and suppliers; their main objective is to ensure the execution of safe, efficient, organized, profitable, on-time projects of excellent quality. They are indirectly responsible for project planning/scheduling, buyout, financial management, estimating, owner/architect/contractor communications, internal reporting, and working with and overseeing the project while maintaining all PRG safety and quality standards.

PRG Assistant Project Manager Responsibilities

  • Lead the project to success. Lead by example. Be honest, work hard, show up on time, communicate clearly, act with integrity and enthusiasm, be accountable, be proactive; hold others accountable and to these standards.
  • Assist the project team in running a safe project, adhere to all PRG safety rules and policies, perform duties directed by the PRG Safety Plan and the PRG Safety Manager. Require employees and subcontractors to do the same.
  • Participate in job-site safety inspections and assist in correction of safety violations.
  • Participate in the take 5 Program.
  • Never supersede safety for expediency.
  • Work with the PRG Safety Manager when you need assistance. Follow recommendations and requirements set forth by the Safety Manager.
  • Assist Project Manager with preparation of budget estimates, when required.
  • Assist Project Manager with soliciting and obtaining bids from subcontractors and material suppliers, when required.
  • Read and understand the contract with the Project Manager and Superintendent. Note questions and review with SR management. Highlight and list action items and important provisions, create a quick reference/reminder list.
  • Assist in the execution of the work in conformance with the Contract.
  • Read and know the PRG Master Subcontract Agreement.
  • Assist the Project Manager in the creation of a job specific Exhibit A template with the added provisions of the prime contract and provide this to the Project Coordinator for Buy Out.
  • Assist the Project Manager in advanced planning, including subcontractor selection, analysis and troubleshooting of budgets, design documents and all other project information, develop a project progress schedule and plan of construction.
  • Read, Understand and Know the Design Documents and other Contract Documents.
  • Assist the Project Manager in the creation of the Project Buy Out Schedule.
  • Assist the Project Manager in the timely execution of the project Buy Out: Create and execute subcontract and purchase order agreements, insurance certificates, permits, bonds and other documents as required for each project. Work to ensure the interest of the company is always protected.
  • Expedite subcontractor’s work and delivery of materials.
  • Assist In coordination with the Project Manager and Project Superintendent, the administration of the PRG QA/QC process for the project, including arranging the preconstruction conference, attending pre-installation meetings and assembly of close out documents (QAQC Process Requirements).
  • Expedite, review, and process all shop drawings, samples, and submittals in a timely manner so as not to delay assigned project’s completion.
  • Write and/or review intelligent RFI’s. Follow up to verify each item is answered timely and closed out properly. RFI’s should be researched and cite the research performed while generating the RFI and where appropriate provide suggestions for resolution.
  • Assist the Project Manager in monitoring, approval and controlling all costs of assigned projects. The Project Manager shall authorize all spending.
  • Assist the Project Manager in the preparation of the monthly owner payment requests, arranging for the timely submission to the architect or owner’s agent.
  • Work with the Project Coordinator to expedite processing of invoices and payments to subcontractors for amounts due to them and verify lien waivers are signed and provided to the Owner prior to the next payment application.
  • Assist the Project Manager in the preparation and execution of Owner Change Orders. Assist the Project Manager in issuing change orders to subcontractors and others and prepare revisions to the master cost breakdown as a result of change orders and management revisions. Assist in the documentation of the reasons for delay and prompt requests for extensions of time and/or additional costs, as required.
  • Assist the Project Manager in keeping the Job Cost System accurate through (at minimum) weekly review of costs and budgets.
  • Participate in the review of the project schedule at least weekly with the project team.
  • Assist the Project Manager with the update PRG financial reporting and for monthly submittal to Sr Management. These include change order logs, updated budgets, buy out logs, cost at completion forecasts, variance reports and schedule updates.
  • Identify and notify Project Manager of pending problems early and as soon as they are identified. Provide solutions and action plans to correct the problems. Update the Project Manager regularly on the status of the corrections.
  • Always participate and grow the Project and Company Profitability in all areas.
  • Assist the Project Manager and Superintendent with the weekly 4 week look ahead schedule, scheduling all work for the project coming up in the next 4 weeks. Assist in the verification that this schedule is thorough, accurate, complete, logical, organized, and effective.
  • Assist the superintendent to hold Subcontractors accountable to the 4-week schedule and overall work.
  • Represent the Company in meetings with the owners, architects, engineers, subcontractors, suppliers, and others in the conduct of the project.
  • Assist the Project Manager and Project Superintendent with the regular and effective subcontractor meetings. Give the team the information they need to be successful, including an overview of the project goals and challenges. Solicit feedback and participation.
  • Participate in regular project OAC meetings. Prepare in advance. Assist the Project Manager in creation of an agenda, take notes, publish them, and create and follow up on action items. Communicate the needs of other team members clearly and publish agreed expectations in the notes. Follow up on the close out of these items to completion.
  • Assist the Project Manager with the update to the Owner on the schedule and budget monthly, and document communications.
  • Cultivate and maintain good relationships with the owner, architect, engineers, subcontractors, suppliers, municipal authorities, within PRG Group and our sister company’s personnel.
  • Assist the Project Manager in all aspects of Project Documentation. Review and distribute new design documents. Maintain and organize the job files in Procore. Verify at least all exhibit A’s, important correspondences, RFI’s submittals, photos, inspections, design documents and punch lists are included, completed, and preserved.
  • Secure guarantees, warranties, and as-builts drawings from subcontractors, if required, and submit all final paperwork required by the contract documents at the completion of the project.
  • Assist the Project Manager in the creation of an Owners’ Manual, prepare, and turn over job records and documents in accordance with Company policies and guidelines.
  • Represent to all people a level of integrity, pride, enthusiasm, organization, accountability, and competence that encourages the highest level of performance and morale. Conduct oneself in such a manner as will reflect credit upon the Company and encourage others to do likewise.
